Executive Assistant

HDIS, a direct to consumer medical supply company, is seeking a talented Executive Assistant to provide administrative support to the Executive and HR Teams.  If you are looking for a rewarding career with a growing company, HDIS would love to speak with you!
Summary of duties and responsibilities:
•       Provides administrative support services to the Executive and HR Teams.  Examples of work performed may include a broad range of complex responsibilities involving confidential information, such as compiling reports, furnishing information, scheduling meetings, preparing agendas, responding to routine correspondence, and researching background material
•       Maintains records through filing, retrieval, retention, storage, and compilation.
•       Assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area. A high degree of confidentiality and flexibility is expected.
The Executive Assistant will assume responsibility for related duties as required or assigned, including but not limited to:
•       Maintaining calendar, scheduling appointments and meeting rooms
•       Taking and transcribing minutes of meetings; executing routine administrative assignments, including dictated, written, or composed correspondence
•       Preparing for and coordinating meetings with manufacturers who visit onsite
•       Coordinating leadership special projects and events, office activities and committee meetings
•       Coordinating all aspects of the travel function; Researching options to maintain an economical, efficient travel program
•       Supporting the HR team in a variety of areas related to HR administration, recruiting and company policy.
Required Experience or Background:
•       Well organized, accurate and attentive to detail
•       Knowledge of all related computer applications including vast knowledge of PowerPoint, Word, and Excel
•       Ability to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervision
•       Cooperative and willing to assist others
•       Good writing and typing skills
•       Excellent communication and public relations abilities
•       Basic understanding of human resource functions
•       Comfortable communicating with all levels of management and employees, oral and written
•       Able to work independently and with little supervision
•       Able to remain calm during stressful situations, including interpersonal conflicts
•       Extensive problem solving capabilities
